Cancellation Policy

Applies to bookings made with Accessible Travel Kenya Ltd from 20 October 2026.

We know plans can change, especially when health, mobility or caring responsibilities are involved. This policy explains what happens if you need to cancel or change a booking, so you know where you stand before you pay.

1. Confirming your booking

  • A deposit of 30% of the total confirms your booking, unless your invoice says otherwise.
  • The balance is paid on the schedule shown on your invoice. Full payment is due no later than 7 days before arrival.
  • Some items have to be paid in full when we book them, including domestic flights, gorilla and chimpanzee permits, and some peak-season lodges. We will tell you in your quote if this applies.

2. Safaris, tours and holiday packages

If you cancel, please tell us in writing at bookings@accessibletravel.co.ke. Charges are a percentage of the total trip cost and are based on the date we receive your notice.

Park and conservancy fees, gorilla and chimpanzee permits, domestic flights and some lodges have their own stricter terms once they are paid. Where a supplier charges us more than the table above, we will pass that cost on at cost and show you the supplier's terms.

3. Airport transfers, accessible vehicle hire and car rental

Transfer bundles and monthly leases follow the terms in their own agreement.

4. Mobility equipment hire

You can cancel without charge up to 24 hours before delivery. After that, we charge one day's hire plus any delivery cost already incurred.

5. Changing your booking

  • You can change dates or details without an amendment fee if you tell us at least 30 days before arrival, subject to availability.
  • Any difference in supplier rates, park fees or flights will be charged or refunded.
  • Changes made with less than 30 days' notice are treated as a cancellation of the original arrangement if a supplier charges us for the change.

6. Cancelling for medical reasons

If you or a travelling companion cannot travel because of illness, injury or a change in a medical condition, contact us as soon as you can. We will ask our suppliers to waive or reduce their charges, and where possible we will offer to move your trip to new dates instead of applying cancellation charges. A doctor's letter may be needed for insurance purposes.

7. If we have to cancel

If we cancel your booking for any reason other than events outside our control, you can choose a full refund of everything you have paid us or an alternative trip of equal or higher standard.

8. Events outside our control

We are not responsible for cancellations or changes caused by events beyond our control, such as severe weather, natural disasters, civil unrest, government restrictions, strikes, epidemics or airline schedule changes. In these cases, we will recover as much as we can from suppliers and refund it to you, or help you rebook.

9. Refunds

  • Refunds are made to the original payment method within 14 working days of the cancellation being confirmed.
  • Bank, card and payment-platform charges are not refundable.
  • No refund is given for unused services once a trip has started, for example a missed game drive or leaving a lodge early.

10. Travel insurance

We strongly recommend travel insurance that covers cancellation, curtailment, medical care and your mobility equipment. Insurance is often the best way to recover cancellation charges.
